Chapter 1

The Problem and Its Scope

Introduction

School Management Systems (SMS) is used by educational institutions to

manage and integrate academic, communication and financial processes. It is an

end-to-end management software designed to automate an institution’s diverse

operations; from curriculum management to invoicing. The main aim of the

implementation of a school management system is the development of a process

that manages all data and activities in an organized and automated way, School

Management Systems tie together and define large processes and enable the

flow of data between different types of users and the school. By collecting and

organizing school’s transactional data from multiple sources, SMS eliminate data

duplication and provide data integrity, becoming a "single source of truth" for all

users.

Garnace (2015), developed an application software for the computerized

information system. He said that the general notion of a portal should be to be

distinguished from that of other web-based application and the traditional intranet

of institution.

As the researchers had observed the Office of Research, Development,

Extension, and Linkages Office are still using manual process, which is not

reliable for cause delay of transaction. It is also hard to find and retrieve the

necessary files or data for they will look for it, which can cause delay in

transaction can take a lot of time in processing transaction, the library

management is also using manual transaction which, Nowadays educational

institutions are burdened by hassle paperwork and manual processes, They find

it difficult to maintain records to archive and track the information they need.

School Management Module Integration 1.0, is the development of a

process that manages all data and activities in an organized and automated way.

It is a large database system, which can use in managing state. It is configurable

and be configured to meet most individual school’s needs. Generally speaking, it

is platform available for running an online system that is used for handling all the

historical files archive, It can be exported easily when it needed and also can

manage to store properly the library items in order to maintain security.

The first box represents the programming languages, database, and

hardware devices that are included in the system. The second box represents

the process of the system.

The IPO Diagram of the proposed system. The input shows the

programming languages that were used by researchers. The programming

Language is PHP, an open source general purpose scripting language design to

develop dynamic and interactive web pages. The database is MYSQL which is

the backbone of the system. The researchers used laptop to view the inputted

designs and WampServer for web browser to create and to decode.

The process was the program used by the researchers to create codes,

database and webpages to analyze the system which includes the modeling

tools having a Use Case Diagram and Requirements Analysis, and software

tools having a PHP, CSS, JavaScript, Wamp, and MySQL. The output shows the

developed system of the” SDSSU School Management System Module

Integration 1.0”

Project Objectives

General Objective:

The main objective of this project is to design, develop and implement the

SDSSU School Management System Module Integration 1.0.

Specific objectives:

• To design a system that can easily export the archive data of the

Extension Services, Research Development and Library to help the

documents organized, safe and in place.

• To develop a system that can further allows schools to interpret,

understand and adapt new information that are available.

• To Implement the SDSSU School Management System Module

Integration 1.0, for school records containing data and information about

various aspects of a school’s operation.

Scope and Limitations of the Study

Scope:

With the system, it allows the administrator to archive and traced the data

in the given offices where the data are recorded. This study also is needed and

used in the university because it is the responsibility of the institution to provide

immediate data as part of its services to satisfy the clients’ transaction.

• The system can export the archive data when it needed.

• The system is for office of Extension Services, Research Development

and the library;

Limitation:

• The system is an online system; it cannot be used if there’s no internet

connection.

• In the system, only the Head/Aide, Librarian/Librarian Aide can upload and

download a data and can operate the system.

Definition of Terms

Through this study several term are used to clarify the meaning so that the

user can understand fully what the researchers are implying;

SMS. School Management Systems are used by educational institutions to

manage and integrate academic, communication and financial processes. It is an

end-to-end management software designed to automate an institution’s diverse

operations; from curriculum management to invoicing.

QR code. A Quick Response or QR code consists of black squares arranged in a

square grid on a white background that can be read by an imaging device such

as a camera.

PHP. Hypertext Preprocessor is a widely-used open source general-purpose

scripting language that is especially suited for web development and can be

embedded into HTML.

HTML. Hypertext Markup Language, a standardized system for tagging text files

to achieve font, color, graphic and hyperlink effects on World Wide Web pages.

Significance of the Study

The significance of the study was to help and give benefit to the

concerned group below:

Students. Through SDSSU School Management System Module Integration 1.0,

they can easily find the books that they are looking for without the traditional way

of searching a library material. Convenience is more visible for it is not time-

consuming, resulting to a number of accomplished works.

Research and Development & Extension and Linkages Office. The SDSSU

School Management System Module Integration 1.0 helps to keep pertinent data

in place and provide copy of information when somebody needs it.

Librarian. The SDSSU School Management System Module Integration 1.0

improves the monitoring capacities of those who maintain the library. It would be

easier to determine whether a particular book is on shelf or not. In addition, they

can easily identify when the borrowed material will be returned and if the

borrower has failed to return the books on its due date.

School. The SDSSU School Management System Module Integration 1.0

provides quality data in the school in a timely fashion trough system that is

completely integrated. This will provide opportunities for operational efficiency.

Chapter 2

REVIEW OF RELATED LITERATURE AND STUDY

This chapter contains relevant and useful information related in

conceptualizing the study. The researchers have found the following studies and

literature relevant to the system being designed.

Foreign Literature

According to Jennifer Rowley (2014), information system is tool to support

information management. Information system is increasing being used of the

organization with the objective to providing competitive advantage. The

information system used by organization can be grouped into different types such

as transaction processing system. Information system, decision support system.

To expert system and office information system. Information system. Information

technology has heralded the advent to the information society.

Bryan (2015), The information system is a set of people, that can

emphasize procedures and resources that collects trans forms and disseminates

information in an organization whose ends rely on many types of information

system they might include simple manual information system and also computer

based information system that use hardware, software telecommunication and

other forms of information technology.

According to Johns Hop kinz (2014) the new service discovery portal and

implementation of smart’s one campus has replaced the universities old legacy

portal with updated functionality including a google like search capability an

access from any mobile device.

According to Abdulhadi Tahir (2014) a student portal performance

comparative study is having corporate portal in academic institutions on their

performance the researcher had six hypotheses which assume that portal usage

will eventually result in enhancing effectiveness, efficiency, innovation, learning,

adoptability and satisfaction of the learning institutions.

Local Literature

The University of the East Student Portal is a gateway for online student

information, lectures, discussions, resource and other services exclusive to UE

students. It facilitates communication between professors and students beyond

class hours and is available 24/7. A description research was conducted which

aimed to assess the usability of the university of the East Student Portal as

perceived by one hundred-eighteen (118) Statistic student. Usability is measured

in terms of appearance, navigation, content, security, performance and efficiency

and interactivity. This study is according to Leila R. Gano (2115).

and implemented it in database.

He stated that a campus of the information technology of Isabela State

University Cauayan Campus portal is an exciting recent phenomenon forming

part of the new education. He added that the general notion of a portal should be

to be distinguished from that of other web-based application and the traditional

intranet of institution. This study was made by Fuangvut (2014).

Synthesis

Each of the researchers mentioned, have almost similarities on their

purpose and objectives. The systems were developed to provide a website that is

accessible by the students, teachers and the administrator but some features

inside the system will not be able to access by the students which is the Library

Management where in the process of Borrowing and Return a books must use

the QR code and every book must be registered to get individual QR code.

Chapter 3

DESIGN AND METHODS

This chapter focuses on the steps concerning the development of the

proposed system for SDSSU School Management System Module Integration

1.0. The data were gathered from SDSSU Cantilan Campus, Surigao del Sur

through interviews, system development and system implementation.

Research Design

The developmental project design where the researchers designed a

system that provides a well-managed SDSSU School Management System

Module Integration 1.0, considering the timeframe of the project, the researchers

follow the Rapid Application Development (RAD) methodology. The descriptive

method of research helps the researchers obtained information and justification

needed to fully understand the process in connection with the development of the

system.

Rapid Application Development (RAD) is both a general term used to refer

the alternatives to the conventional model of software development. In general,

SDSSU School management system module integration used the RAD

approaches to software development which put less emphasis on planning task.

The project used the developmental project design where the researchers

designed the system that aimed to provide a well-organized system. Considering

the time frame of the project, the researchers followed the rapid application of the

methodology since its concept is to develop the system.

• Requirements planning – This is the part where the researchers and the

user discussed and agreed the SDSSU School Management System

Module Integration 1.0, that the office needed. After that the researchers

analyzed the concept to determine the requirements that will be used in

the system.

• User design – In this phase the idea is analyzed and the user design to

be used for the development of the system. It was determined by which

case diagram is used to design the possible execution from the

development of SDSSU School Management System Module Integration

1.0.

• Construction – This phase focus as on programming the system,

However the user still participates and suggest changes or improvement

in the system, after designing of SDSSU School Management System

Module Integration 1.0, its task also include programming, coding and

testing of the said system.

• Cutover – This case resembles the final task in SDLC the implementation

of the proposed system. It also focuses on testing the system and

comparing it to the manual process of storing, and the data.

RESULTS AND DISCUSSION

On this chapter the system overview, functional requirements, non-

functional requirements and the implementation plan of the system will be

presented.

System Overview

SDSSU School Management System Module Integration 1.0 is a web-

based system that provides features that can cater the needs of the two offices

and a library. First, is the Research and Development Office, which features

include the adding, editing and deleting information, Students and teachers can

be able to download the data they need since it is a public data Same as for the

Extension and Linkages Office.

The library has a special feature, which is the QR code every book that

has been registered has its own QR code and it is attached in the book.

Non-Functional Requirements

The non-functional requirement specifies the criteria that might be used

to evaluate the operation of the system.

Software Specification

The software used in the project explains what the software can do and

how it is expected to perform.

MySQL

This is the backbone of the researcher’s system which is to save the

database which was included in the system

PHP (Hypertext Preprocessor)

Hypertext Preprocessor is a server scripting language and a powerful

tool for making dynamic and interactive Web pages.

Sublime Text Editor

The researcher need to use the sublime text editor because it focuses

on providing the quickest way to organize and write the code, but no ability to test

(debug) the code in the system.

JavaScript

JavaScript is a programming language used by the researchers for web

application. It allows writing smaller programs and allows it to be used for

revising with less memory or disk space.

Xampp

This will be used for MySQL databases for the account of the user.

Xampp includes database administrator and phpMyAdmin data. By using this,

the proponents can create new database, tables and enter data.

Scope. The scope of the project is only for the SDSSU –Cantilan Campus.

User Issue. The system is user-friendly, However someone might find it difficult,

thus exploring and training must be conducted to enable for them to use the

system.

Maintenance Issue. The system is design accordingly to our generation

technology; however, it has to be upgraded in the future in relation to our

generations technical demands.

Institutional Issue. The SDSSU School Management System Module

Integration 1.0 might take a large cost. The institution must be ready to invest for

its implementation.

Implementation Plan of the Project

The implementation plan and schedule as shown in Table 4.0 includes

the implementation and the duration of each activity. These are the system

testing, system evaluation, system training and practice implementation. System

testing involves the functional testing.

SUMMARY, CONCLUSIONS AND RECOMMENDATION

On this chapter, the summary of the findings, conclusions and the most

vital part of the study, which is the recommendation, is presented.

Summary of Findings

The proposed system entitled “SDSSU School Management System

Module Integration 1.0” is especially made for the two offices and Library in

SDSSU, Cantilan Campus which is the Research and Development, and

Extension and Linkages Office. It is designed to improve, upgrade and archive

every transaction of the said offices and to manage the library transactions, In

other words, this system is interactive and user friendly and this contains all

necessary commands controls that would manipulate and execute appropriate

details for archiving, Information’s and Library Management.

Conclusion

The system entitled SDSSU School Management System Module

Integration 1.0 is a web-based system for Research and Development Office,

Extension and Linkages Office and Library. This time, Transaction of the said

offices will become accurate and easier. If this system will be implemented, it will

be much hassle-free.

Recommendations

To design an automated archiving and Library management, with respect

to its benefits and functionalities to the industry is necessary. Hence, the

following recommendations are made:

• The development system may be utilized by the Research and

Development Office, Extension and Linkages Office and Library.

• To conduct proper training for the users of the newly developed system

may be done.

• Future studies may be done for the enhancement of the newly developed

system.
