ASSESSMENT TASK 1 – KNOWLEDGE QUESTIONS


Assessment task description
 This is the first (1) assessment task which consists of seven (7) written knowledge questions.
You must complete all the knowledge questions at the required level to get a “Satisfactory”
outcome.
Purpose of the assessment task
The purpose of this assessment task is to assess your knowledge in the following:
 technology required to produce document
 key functions and features of contemporary computer applications
 organisational policies and procedures
 organisational requirements for document design, including style guide.

ASSESSMENT TASK 2: CREATE AND DESIGN BUSINESS DOCUMENTS


Assessment task description
This is the second (2nd) assessment task which incorporates a scenario and practical activity where
you will be required to develop your first business document. In the first task you will identify and
break down the task from the case study information. In the second task you will create the
document, present it to your trainer and save it using organisational guidelines.

Purpose of the assessment task


The purpose of this assessment task is to assess your skills in being able to create a business
document following business guidelines, policies and procedures, workplace ergonomics, seek
feedback, save document within the time constraints as instructed by your assessor.

Assessment will be conducted in a safe simulated classroom environment where you will have

You are working for a large organisation in Sydney. December is fast approaching and your
company has decided to hold its Christmas function at the Hilton Hotel and would like to invite all
its staff and clients. Your manager has asked you to prepare a document (flyer) that will be sent
out to all of the staff and stakeholders of the organisation informing them of Christmas closure and
where the party is going to be. You must include the following:

 Christmas closing period which is 20th December to 5th January.


 End of year party is on the 20th December
 Party will be at the Marble Bar, Sydney Hilton
 Party will begin at 5 pm and food will be served at 6pm
 End of year party will be for everyone who works for the organisation and their families
 Beer, wine, and soft drinks will be free
 Use the style guide for information
 Make it fun and insert some pictures

 Your manager wants you to make sure that the flyer is inclusive and does not create issues for
people with different religious or cultural backgrounds.

a. Before you use the computer, you need to ensure that your work area is ergonomically

DESIGN DOCUMENT
2.5. Demonstration - Ergonomics
This is a practical task where you are required to demonstrate that you are able to set up your
workstation to your personal requirements prior to preparing working on a computer to prior to
starting your electronic presentation.
Task instructions
a) Chair – Set chair to a height where your feet are
completely flat on the floor. Find a position that feels
comfortable for you. The backrest of some chairs can also
be moved forward or backwards. You should have at least
two centimetres of space between the front of the seat
and the back of your knees. The backrest should exert a
gentle pressure on your lower back.
b) Desk - The surface of your desk should be just below
elbow height. If you cannot adjust your desk, consider
raising your chair and using a footrest to keep your feet
and legs in the correct position. Keep the space under your
desk free of clutter to ensure you have plenty of leg space.
c) Keyboard - Place the keyboard as close as possible to the
front of your desk.
d) Mouse - The mouse and mouse pad should sit directly
next to your keyboard on the side you prefer to use. Your wrist should be straight and
the desk, not your arm, should support the weight of your wrist. Try to keep your wrist
flat and rest your fingers on the mouse between clicks.
e) Computer screen - The optimum position for your computer screen is to have the top
of the screen level with or slightly below eye level. To minimise the risk of radiation
exposure and eye strain, keep the screen at least 50 centimetres away from you.
2.6. Design document – Practical task (25 – 30 minutes) – Document 1
Design and produce a draft flyer using Microsoft Word. When designing the document, you
must use a range of functions to ensure consistency of design and layout and complete the
draft within the designated timeline. The draft needs to use the organisational style guide
below. You must:
a) Cover all the points in the brief
b) Save your document as “Draft (YOUR NAME AND ID)”
c) Upload the draft to your student portal for your trainer for feedback

2.8. Check and proofread your document that it meets organisational requirements. Meet with
your assessor and obtain his feedback on your draft. Document the feedback in the space
below. Your assessor has advised you to finalise the document as it is getting urgent to
distribute it to all the stakeholders. You have been given 30 minutes to finalise your

ASSESSMENT TASK 3: DESIGNING AND PRODUCING BUSINESS

Assessment task description
This is the third (3rd) assessment task which will require you to design, produce and finalise three
(3) different types of business documents, using a different software to what you used in Task 2.
Purpose of the assessment task
The purpose of this assessment task is to assess your skills in being able to create a range of
different business documents following business guidelines, policies and procedures, workplace
ergonomics, seek feedback, save document within the time constraints as instructed by your
assessor.
Assessment conditions and resources
Assessment will be conducted in a safe simulated classroom environment where you will have
access to technology such as computer, internet, WIFI, software to produce business documents,
sample style guides and policies and procedures (Refer to Appendix A, B, C and D under
support materials provided to you.

SCENARIO
Read through the scenario below and follow the instruction for the activities provided.
You are working for Australian Hardware company as a sales representative. Refer to the virtual
company website http://australianhardware.simulations.australiantrainingproducts.com.au/

Australian Hardware company sells a range of products ranging from garden, outdoors, homewares,
hardware, etc. Australian Hardware company would like to promote its products at its monthly
meetings to some clients who are interested in purchasing the products in wholesale.

You have been asked by your manager, Ruth Smith, to prepare an Electronic Presentation about
your organisation which will be presented to new clients about the organisation and the services
the organisation provides at its monthly sales meeting. Remember this presentation is a sales
pitch and needs to be brief, visual, and effective. Ruth asked you to insert extra notes on
some of the slides so that she can refer to them when presenting the content to the clients.

Ruth has asked you to follow the company’s style guide listed below to prepare the presentation.

Australian Hardware Company’s Style Guide

o Must use current company logo on the first slide and last slide of the presentation
o Ruth’s name must be on the first slide as the presenter and again on the last slide
o 2nd slide must list the content of the presentation to explain to the audience what will be

o There needs to be images on some of the slides (e.g. photographs or stock standard images
from the internet or the electronic application program)
o Some slides must run automatically (organised by timing) and some are to be clicked by mouse
to allow Ruth extra time to provide explanations about what the slide covers
o Some images or text should fly in or fade in to make the presentation more interesting

Ruth also requested to make the slide fun using friendly and happy colours to reflect the
organisation
Activity: Using Microsoft PowerPoint to Design a Document (Document 2)
After you have read the case study, you will need to meet with your manager to discuss and
determine the content of the electronic presentation prior to developing the presentation.
3.1. Prior to meeting with your manager, you need to document brief notes of what you think you
will include in the content of your presentation. Meet with your assessor and get the feedback
on your notes. Document your discussion and assessor’s feedback below. (Guide: 100 – 120

3.3. Design and produce presentation – (20 – 30 minutes)
a) Using proper workplace ergonomics, you are now required to develop a draft of your
presentation within the time constraints and due date given to you by your assessor.
b) Once you have completed the draft presentation, proof read your presentation for typos,
and grammatical errors and ensure that you have followed the company’s style guide,
insert the following file name in the footer of the presentation and save the draft:

range. You are now required to design a document to promote this product to the public. You

You are working as an Administrative Assistant for CEO from Australian Hardware. You have
attended a marketing meeting and have taken minutes of meeting which you have transcribed
below. The CEO has asked you to type the minutes using the official company minutes template
and present it to the senior managers before distribution to the store managers.
a) Use Microsoft Word and type the minutes of meeting using the Minutes Template provided.
Ensure your minutes is formatted professionally, headings are in bold, and any abbreviated
words are spelt out. Note there are a few spelling mistakes you must correct as well. Use the
