What is a Chart?
A chart is a graphic or diagram that displays data or
the relationships between sets of data in picture form.
MS Excel Chart
A visual presentation of a worksheet data. Charts appear
either as objects embedded in a worksheet or on their
own workbook sheet

Creating a Column Chart

1. Click the Insert tab, go to the Charts group and click


the Column Chart drop-down arrow.
2. On the Chart Gallery, choose a chart type.

Moving and Resizing a Chart

1. To move the graph, click the pointer to any blank


space within the graph, the crosshair + will appear.
2. Drag the crosshair + to anywhere you want to place
the graph within the worksheet
3. To resize the chart, click the mouse pointer to the
corner of the graph and a double headed arrow will
appear.
4. Click the double headed arrow going to the left or
right, up or down to increase or decrease the size of
the graph.

5. To move the chart, click the mouse pointer to the


edge of the graph and a four headed arrow will appear.
6. Click the four headed arrow and drag the graph to
the new location
7. Click outside the graph to deselect

After you have created your chart, the Ribbon displays


the Chart Tools Design tab. These Chart Tools Design
commands will allow you to design and modify your
chart.

Changing Colors, Patterns and Enhancing the


Appearance of a Chart

1. To add color or patterns on the chart, click the


pointer to any white space within the graph.
2. On the Format tab, select the Shape fill button to
change the color or add fill effects or patterns on the
chart.
3. Right click the chart to show the Format Chart area
dialog box (not anymore a dialog box in Excel 2013).

What is Hyperlink?

Hyperlink creates a shortcut or link that opens a


document stored in your computer or the Internet. By
clicking the cell that contains the hyperlink function,
MS Excel opens the destination file or linked file.

Worksheet Elements that can be assigned a hyperlink:


Text you can enter a text in a cell and make the text a
hyperlink. The hyperlink text becomes blue with an
underline
Embedded graphic you can draw or insert a graphic
such as ClipArt and make the graphic a hyperlink.

1. Type the text that you want to assign a hyperlink


2. Click the Insert tab, go to the Links group and click
Hyperlink.
3. On the Insert Hyperlink dialog box click Existing File
or Web Page.
4. Select from the existing file name stored in your
computer and click OK.
5. The text link now will become blue with underline
which is an indication that the text has a link.

1. Insert the ClipArt that you want to assign as a


hyperlink by clicking Insert tab<ClipArt from the
Ribbon.
2. On the ClipArt images, select the ClipArt and click
Insert.
3. When the ClipArt is inserted, on the Links group on
the Insert tab, click Hyperlink.
4. On the Insert Hyperlink dialog box click Existing File
or Web Page.
5. Type the website address of the destination web
page.

Linking an Excel Worksheet to a Word Document

1. Create or open your MS Word document. Minimize your


MS Word file so that you can work on your MS Excel file.
2. Open the MS Excel worksheet that you would like to link
to the MS Word document.
3. Highlight the range of cells that you would like to copy
4. On the Clipboard group on the Home tab, click Copy.
5. Minimize the MS Excel file and maximize the MS Word
file.

6. On the MS Word file on the Clipboard group on the Home


tab, click Paste drop-down arrow and then click Paste Special
7. On the Paste Special dialog box, select Paste Link.
8. Then select the Microsoft Office Excel Worksheet Object
and click OK.
9. The MS Excel worksheet will now appear on your MS Word
document.
10. The worksheet in your MS Word document will update
when you make any changes on your MS Excel worksheet
file.

Editing the Linked Worksheet

1. Open your MS Word file.


2. A message will appear that tells you that This
document contains links that may refer to other files.
Do you want to update this document with the data
from the linked files? Click Yes.
3. Double click the worksheet and the MS Excel file will
automatically open.
4. When the MS Excel is opened, type in any
adjustments or corrections that you want to make.

5. On the Quick access toolbar click Save.


6. Minimize your MS Excel file and maximize the MS
Word file.
7. You will see the changes applied to the worksheet.
8. Save the MS Word file.

Linking Data between Worksheets

You can link data between Excel worksheets within an Excel


file. An example is when you want a consolidated report for
the individual products in each worksheet. Any changes
that you make in the source worksheet will be applied to
the destination worksheet
1. Create an Excel worksheet for the Computer Store
2. Create individual worksheets for each product category
and type the data.
3. Leave the amounts blank on the consolidated
worksheets

4. On the Software tab, click the total and go back to


the consolidated tab.
5. Click on the space for the amount of Software and on
the Clipboard group on the Home tab, click the Paste
drop-down arrow and then click Paste Special.
6. On the Paste Special dialog box, click Paste Link and
all update you will make to the source worksheet will
be applied to the consolidated tab.
