Logging In
• Log into the Syncade Suite
• Click the Materials button to enter the Materials Management
module.
• Enter the logon ID and password provided. Click OK.
• On the Button Bar, click the Materials link.

• Utility Toolbar

Find :Used to search for a material code or a material description. Enter


part of, or all, the code or description then click the Search tool button.

Actions: Contains the command New Material. Click to open the Add New
Material dialog.

Searches :Opens a menu with the following commands: Quick Search ,


Advanced Search.

View: Toggles the display, to either hide or display the following items in
the user interface: Button Bar, Tree ,Task Pane, Tree Filter.

Legend: Opens the Legend dialog.

Material by type
• The Materials Type folder presents material definitions in a list
organized by type.

• The Materials By Level folder presents material definitions in a list


organized by level. The material level is a property of every
material.

• To view the properties of a material, right-click the
material name in the material tree. The properties area
to the right of the tree displays the current properties for
the material.

The General section of the Properties pane contains a tool bar with links
to perform actions.

Header Description

Custom Properties This section lists the custom properties assigned to the material.

Storage Refrigeration Item  Maximum Time Out of Refrigeration (HH.MM) 


Cumulative Time Out of Refrigeration (HH.MM)  Time to Refrigeration
(HH.MM)  Controlled Substance Also included are the storage
classifications assigned to the material

Alternate Material This section lists alternate materials that may be assigned to the material

Vendors This section lists the vendors and approved vendors assigned to the
material.
Quality Control This section lists the quality control properties assigned to the material

Safety This section lists the safety properties assigned to the material.

Dispensing This section lists the dispensing properties assigned to the material.

Documents This section lists the MSDS and RM documents associated with the
material.

Header Description

Custom Reports This section lists the batch stylesheets and label templates assigned to the
material.
Transaction History This section lists the transactions that have occurred on the material
Where used is section lists the materials (products) that contain this material as a
component.

Task Pane contains following areas

Recent :
• This area contains a list of the most recent materials that were selected for
use.
• Each material, identified by material code, acts as a link to the material in the
tree.
• Click a material code in the Recent list to navigate to the material in the tree
and to display the material's properties in the Properties pane.
• Right-click a material code to open the same context-sensitive menu seen in
the Tree view.

Actions :
• Click the link to open the Add New Material dialog.

Reminders :
• Reminders are quick notes for things you want to remember.
• Click the Add button to open the Reminders dialog
• Enter a reminder to yourself.
• Click Ok.
• To delete a reminder, click the Remove button to remove it from the list.
• To refresh the list of reminders, click the Refresh button

Create a Material Definition
• On the application utility toolbar,
select Actions | New Material.

• This opens the Add New Material


dialog, shown in Figure.

• The General page opens by


default.

• Enter or select all required


information (required fields have a
blue background) on this page,
expanding the Chemical Formula,
Units of Measure, and Purchase
Order Properties headers to access
and set additional properties.

General Properties of a Material Definition
Property Description
Material Code Unique identifier of the material
Version Version of the material definition.
Last modified Date and time when the material definition was modified
In Service Indicates if the material is in service
Description A description of the material definition
Material Type The type of material. Can be selected from the associated drop down,
or a new material type can be created
Material Level The material level indicates, by default, the source: commercially
obtained or internally manufactured.
Cycle Count Code Indicates the time frame for initiating another inventory count.
Expressed by default as a letter
Active Ingredient Indicates if the material is an active or an excipient
Chemical Formula chemical formula of the material
Units of Measure MM will accept up to four different units of measure
Purchase Order Property These are available for managing inventory

Purchase Order Properties

Property Description
Reorder Point The amount in inventory that would indicate that an order
for additional material is required
Economic Order The amount of material at which the best price is obtained
Quantity when ordering
OnHand Balance The amount in inventory that would indicate a decision is
Threshold needed whether enough material is on hand to begin an
order, or to plan additional orders
On Hand Balance The amount in inventory, obtained from the Materials
Management application, where inventory is managed

Custom Material Properties
• A custom property is created to allow additional information
to be added to a material definition.
• A property can be text, a date, a number, a Boolean value
(true or false) or a selection in a drop-down list.
• A value can be required or optional.
• Click the Custom Properties button on the Properties Bar to
open the Custom Properties page.
• Enter or select all required information.

Storage Classifications

• A storage classification is a broad definition of the type of


location suitable for a material. For example, the storage
classification of Refrigerated specifies that the material must
be in a refrigerated location.
• Specific locations are assigned one or more storage
classifications.
• Storage classifications are configured in the Administration
module, but you can create a new storage classification
when creating or modifying the material definition.

Refrigeration Properties

• If the material is defined as a refrigerated material, then it is


important to enter values for the maximum time out of
refrigeration, cumulative time out of refrigeration, and time
to refrigeration.

Type Description
Maximum Time Out The maximum time the material can be left out of a
of Refrigeration refrigerated environment.
Cumulative Time The maximum time the material can be left out of a
Out Of Refrigeration refrigerated environment.it is a sum of the number of times
the material has been left out.
Time To Starting when the material is first created, it is the length of
Refrigeration time it can be out of a refrigerated environment before it
must be put into refrigeration.

Alternate Materials

• An alternate material has similar properties to a material,


and possibly can be substituted in a production order.
• Click the Alternate Materials button on the Properties Bar to
open the Alternate Materials page.
• Click the Assign Alternate Materials button to open the
Alternate Materials dialog, shown figure.
• Materials are grouped by material type.
• Expand a folder .
• Navigate to the material desired.
• Highlight the material and click Ok.

Vendors
• Vendors One or more vendors are assigned to a material
definition.
• No lot of a material can be added into inventory unless a
minimum of one vendor has been assigned to the material
definition.
• A vendor can be an approved vendor or a non-approved
vendor. Approval is based on quality attributes of the
supplier.

Quality Control Attributes
• To set the quality control attributes for the material,.
• Click the Quality Control button on the dialog’s Properties Bar to open
the Quality Control page.
• Enter information as desired or accept the default values.

Attribute Description
Retest Frequency The length of time after the material is tested before it is
tested again.
Expiration Interval The length of time after the material is tested before it expires
QC Inspection Indicates if the material must undergo QC inspection before it
can be used in a production order
Lot Tracked Determines if the system tracks the material at the lot level.
Container Tracked Determines if the system tracks the material at the container
level

Safety Information
• Safety information includes material safe handling information and
safety warnings.
• Material safe handling information is not required, but if present,
will be displayed to the operator during weighing and dispensing
activities using the Suite’s Weigh & Dispense (WD) module.

Dispensing Properties
• The dispensing properties entered here are used when a manufacturing
order is created that includes the material as a component in the bill of
materials.
• Click the Dispensing button on the Properties bar to open the
Dispensing page. Enter or select information as needed.

Properties definition

Property Description
Module Type A module type is a classification that groups modules
Requirements according to a specific attribute
Allow Material Lot Determines if more than one lot can be used during
Combination dispensing for one order
Physical Physical description of the material
Characteristics
Weigh Mode How the material is weighed.
Inventory Tolerance If an amount of material remains in a container after
dispensing this is the amount in terms of a percentage that is
considered too small to be returned to inventory. This
material would then be scrapped
Minimum Number of If the material is a count by weight material, this value is used
Pieces if Count by to calculate how many pieces are needed to equal a specific
Weight amount of a specific unit of measure.

Properties definition
Property Description
Over Dispensing The amount of material, expressed as a percentage of the
Tolerance (%) target amount, which can be over-dispensed to an order
Under Dispensing The amount of material, expressed as a percentage of the
Tolerance (%) target amount, which can be under-dispensed to an order
Standard Weigh Time The amount of time it takes to weigh this material.

Weighing Precision The scale precision necessary, expressed in decimal format.


Required Select the precision desired from the list
Automatically Charged Indicates if the material is automatically charged.

Facility Supplied indicates if the material is supplied by the facility.


Allocation Mode The default allocation mode is set in the Administration
utility, but a different allocation mode may be set for a
specific material
Weigh Notes Weigh notes are displayed to the operator when a
component is weighed and dispensed

Associated Documents
• Most materials have associated Raw Material specifications,
and Material Safety Data Sheets.
• To associate one or both of these documents to a material
definition, scroll down to the lower portion of the Button Bar
and select Document.

Modify a Material Definition
• Right-click a material code in the tree and select the Edit
Material command from the menu.
• Enter or select all required properties, expanding the
Chemical Formula, Units of Measure, Custom Properties and
Purchase Order Properties headers to access and set
additional properties.
• Clicks Ok.

Material Definition Status

• When a material definition is saved, it is given the status of


Pending. Modifications can be made to the material definition and
each successive version will also be in Pending status. However,
when in Pending status, it cannot be used in a manufacturing
order.
• Right-click the node in the tree and select the Make Material
Effective command on the context-sensitive menu. The Approve
Material Definition dialog opens, which lists information about the
material, including material code, material type and level, cycle
count, and who modified the material properties.
• Click Ok.

Compare Versions of a Material Definition
• To compare different two versions of this material definition,
expand the Compare To drop down list and select a version
number. Expand the headings. The information for the other
version is displayed in red, as shown below

Receive Materials Against a Purchase Order
• If one or more containers in the shipment is different in quantity or type from
the rest of containers in the shipment, enter information about these
containers in the Odd Containers section of the receiving form.
• For every odd container to be received: Click to display additional fields.
Enter the quantity of the container in the Qty Per Container text box. Enter the
tare of the container in the Container Tare text box. Select the kind of container
from the Vessel Type drop down list. To delete an entry click

Deplete a Lot

• Expand the materials tree to display lots.


• Right-click a lot and select Deplete Lot to open the
Deplete Lot dialog.
• Enter a reason for depleting the lot in the Comment
text box.
• Click Ok.

Lot QC Status

• The QC status determines the suitability of a material for


production.
• The QC statuses used for lots and containers in inventory
are:
QC Accepted
QC Hold
QC Review
QC Rejected
Destroyed
QC Not Required
Suspended Control

• The quality control status of a lot may be manually changed as a
result of testing.
• Expand the Inventory tree until the lot is visible.
• Right-click the lot number and select the Edit QC Status command
on the menu. The Quality Control Status dialog opens.
• Select a status from the Status drop down list.
• Select a reason code from the Reason drop down list.
• Click Ok

Lot QC Dates
• QC dates must be changed manually after testing. The initial
retest date and initial expiration date are calculated based
on the retest frequency and lifetime specific in the material
definition, in the Materials view.
• However, no further automatic calculation is performed for
container QC dates.
• To modify the dates, the operator has the choice of using a
calendar control to select the date, or to manually enter the
date, using the UTC format.
• To edit a lot's QC dates, the Inventory tree must be
expanded to display the lot number.
• Right-click the lot number and select the Edit QC Dates
command on the menu.

Reprint a Lot’s Container Labels
• Right-click the lot number and select the Reprint Container
Labels command on the context-sensitive menu to open the
Reprint Container Labels dialog.
• Select a printer from the drop-down list.
• Click the Locations button to open the Location Selection
dialog.
• Click the name of a location. Click Ok to select the location
and close the dialog.
• Enter the reason for reprinting the labels in the Reprint
Reason text box.
• Click Ok

Scrap a Lot
• To scrap a lot of inventory, the Inventory tree must be
expanded, and the lot number must be displayed.
• To scrap a sample lot, the Material Samples view must be
selected, and the lot number must be displayed.
• Right-click the lot number and select the Scrap Lot command
from menu.
• The Scrap Lot dialog opens.
• Enter a reason for scrapping the lot in the Comment text
box.
• Click Ok

Exercise

• Create 2 raw material,1 intermediate material and 1 output


material by same procedure.
